The primary focus of this role will initially be project leading the implementation of our new process management system, Daymi. Daymi offers comprehensive oversight, tracking, and collaboration features for operational workflows. Daymi will be a tool within the Permian group to further improve our operations and at the same time support good audit and governance procedures. In the long term, this role will evolve to include client-facing fund administration responsibilities, combining both operational and client engagement functions with an overall responsibility for Daymi ongoing success.
As a Fund administration and Systems Project leader at Permian, you will play an important role in the organisation, with a variety of tasks. You will work alongside team members, driving the implementation of Daymi within our operations, and together with the team develop more efficient ways to operate within fund administration towards our Private Equity clients.
What We're Looking For
We seek individuals that have experience in leading projects, particularly if you have handled implementation of new systems. Positive if you have experience from implementing and/or worked in Daymi or other systems for finance/accounting.
Role Description
As Systems Project leader you will be involved in:
System Implementation and Deployment
- Leading the rollout of the new process management system, Daymi.
- Coordinating with vendors and stakeholders to ensure smooth deployment.
- Developing project timelines and managing deadlines.
Requirement Gathering and Analysis
- Collaborating with teams to understand operational needs related to Daymi.
- Documenting system requirements and technical specifications for Daymi enhancements.
- Conducting gap analysis to identify necessary system improvements.
Process Optimization
- Analysing current workflows to identify areas for automation using Daymi.
- Designing streamlined processes aligned with Daymi's capabilities.
- Implementing best practices for efficiency and compliance within Daymi.
Stakeholder Communication and Training
- Organizing training sessions for users on Daymi functionalities.
- Creating user manuals and support documentation for Daymi.
Testing and Quality Assurance
- Developing test cases and scenarios to validate Daymi's functionality.
- Resolving issues and bugs identified during testing phases.
Regulatory and Compliance Alignment
- Ensuring Daymi's processes adhere to financial regulations and internal policies, in collaboration with the risk management and compliance functions at Permian
- Preparing documentation for audits related
Post-Implementation Support
- Monitoring Daymi's performance after launch.
- Troubleshooting issues related to Daymi.
- Planning future improvements or upgrades for Daymi.
As the role evolves to include Fund Administration, you will have the opportunity to work closely with managers of alternative investment funds (AIFs) and be involved in the following activities:
- Calculation and analysis of key figures for funds
- Preparation of quarterly reports for investors and fund managers
- Monitoring cash flow to investors and portfolio companies
- Reporting to various authorities, such as the Financial Supervisory Authority (Finansinspektionen) and the Swedish Tax Agency (Skatteverket)
- Preparing and reviewing quarterly reports, calculating key figures, generating cash flow statements, and management reports
- Collaborating with external advisors such as lawyers, tax consultants, and auditors
- Administration related to fund information
- Communication with investors
- Managing large datasets for consolidation and reporting
- Developing reporting processes for investors
Qualifications and Characteristics
We are looking for candidates with a bachelor’s/master’s degree or equivalent in business administration, accounting, finance, engineering, mathematics or similar. We see that you have 2-3 years experience in working with project leading implementation of new systems, leading projects and change management, preferably within the financial industry. Experience from working in private equity firms is advantageous.
You have an interest in the Private Equity industry, are service-oriented, a good communicator and have strong skills in Excel and the Office suite. You are highly structured, meticulous, and driven, unfazed by deadlines, and would enjoy close contact with our clients in the financial industry. Fluency in both English and Swedish or Norwegian, both written and spoken, is required. Experience as a consultant and/or in project work is highly valued.
